The deadline for completing and returning employment record books is 1 June 2026
After June 1st 2025 employment data is entered only in the Employment Register. Therefore, employment record books must be finalized with length of service calculated up to that date.
What is important for employers?
- The employment record book must state, in both figures and words, the length of service completed by the employee with the employer as of 1 June 2025. It must be signed by the chief accountant and the employer, and stamped with the employer’s seal, if available. Once completed, the employment record book must be returned to the employee immediately, but no later than June 1st 2026.
- The employment record book remains an official certifying document for the circumstances entered in it. Therefore, it is important that employees keep their employment record books after 1 June.
- The handover protocols for employment record books should be retained by the employer as proof that they have been completed and returned.
- If an employee submits their employment record book after the specified deadline, the employer must complete it and return it without undue delay.
- In case of a lost employment record book, the employee must submit a request for its restoration to the Labour Inspectorate, while the employer may issue a certificate for the acquired length of service.
Digitalization as an advantage
With the discontinuation of entries in the employment record book, there is no longer any document in the employee’s employment file that is required to be stored in paper format.
Sb e-File facilitates HR processes through document preparation, remote verification, electronic signing, online storage, and quick access to documents. This reduces the administrative burden, the risk of omissions, and the time needed for exchanging information.
